Privacy Policy

Seem Social Inc., of Toronto, Ontario, Canada, operates Fax Pro. This policy explains what the app collects, why, who else handles it, and how long it is kept.

What we collect

Account: an identifier from Google or Apple when you sign in, with the name and email address those services give us. Sign in with Apple may give us a private relay address instead, which is fine.

Documents: the PDF you send, the cover page the app builds if you add one, and the image of the pages as they were transmitted, which is what Records shows you afterwards.

Fax details: the destination number, any recipient name you type, the page count, the credits it cost, its status, and the reason given when a fax fails.

Purchases: a record that a purchase happened and the store's transaction identifier, so credits are granted once and can be looked up. Apple and Google take the payment; we never receive your card details.

Technical records: our servers keep ordinary operational logs, which include the IP address a request came from and the fax number a send was for. If you enable notifications, we hold a push token for the device.

We do not sell your personal information, and we do not use your documents to train anything.

Why we use it

To provide, operate, support, secure and improve the service: to transmit your fax, charge the right number of credits, show you what happened, help you when it does not work, and keep the service reliable and free from misuse. Under Canadian law this rests on your consent, which you give by using the service and withdraw by deleting your account.

And where we must: to keep financial records, to answer a lawful request from a court or regulator, and to investigate misuse.

Who else handles it, and where

We use service providers to run Fax Pro: a telecommunications carrier to transmit the fax, which necessarily receives the document and the numbers involved; cloud hosting and storage; a sign-in provider; and the app stores, which process purchases and deliver notifications. Each handles your information only to do the job we engaged them for, and we do not give it to anyone else.

We are a Canadian company, but this infrastructure is in the United States, and your documents and fax records are stored and processed there. That means they are subject to United States law and may be accessible to its courts and authorities without notice to you. Canadian law permits this and requires that we say so plainly.

How long we keep it

Documents, including the transmitted image, are deleted 30 days after a fax reaches its final state, and cannot be recovered afterwards. A document you upload but never send is deleted 30 days after you upload it, or with your account if you delete that first.

The record of a fax — number, pages, credits, status and time — is kept with your account as your receipt for credits spent. Purchase records are kept as long as we must keep financial records. Operational logs are kept for a short period and then discarded.

Deleting your account

You can delete your account at any time in the app, without emailing anyone. Deleting removes your fax history, credit ledger, purchase records, saved recipients, devices and user record, and deletes every document still stored for you. Any remaining credits are forfeited and it cannot be undone.

Deletion is refused only while a fax is still transmitting, because that fax can still complete and be charged.

Your rights

You can ask what we hold about you, ask us to correct it, and ask us to delete it; deletion is built into the app, and we answer other requests within thirty days. You can withdraw consent by deleting your account, and turn off notifications in your device settings.

If you are not satisfied, you may complain to the Office of the Privacy Commissioner of Canada, or in Quebec under Quebec's privacy legislation. If you are in the European Economic Area or the United Kingdom, you may complain to your local supervisory authority. Privacy questions: cs@seem.social.

Children and security

Fax Pro is not directed at children and we do not knowingly collect information from anyone under 13. If you believe a child has created an account, write to us and we will delete it.

Your document is uploaded over an encrypted connection, stored encrypted at rest, and reachable only through a short-lived link issued to your signed-in session. If we become aware of a breach creating a real risk of significant harm, we will notify you and the Privacy Commissioner as the law requires.

Changes

If we change this policy in a way that materially affects you, the app will show you before you next send a fax. The date at the top says when it last changed.
